Hosting an Event and Don’t Know Where to Start?

Step 1: Complete your Event Proposal Submission Form

Step 2: Follow the below Luma Requirements

Step 3: Make sure to comply with our community guidelines

Toronto Tech Week will not contact your attendees, share or access individual registration data. All attendee information remains private and confidential to the event host. Any information requested is used solely for aggregate reporting purposes.

Luma Requirements

• [ ] Create your event on Luma and add *[email protected]* as a visible co-host manager

• [ ] Include the following boilerplate messaging in your event description. “Toronto Tech Week is a citywide celebration of the people building what’s next. From May 26–29, 2026, founders, investors, and builders come together for hundreds of community-led events across Toronto, connecting tens of thousands of people around Canadian tech. Torontotechweek.com”

• [ ] Make sure that you have a customized luma event photo that showcases your event (not a default image)

• [ ] Add the following questions as Registration Questions:

  First name

  Last name

  Title

  Company

  Industry

  What city are you currently located in?

  What country are you currently located in?

• [ ] Ensure that any updates to your event are reflected on both Luma and Airtable Proposal Form to ensure proper website syncing

Making Updates to Your Event

How Do I Make an Update to My Event?

Step 1: Search your email inbox for the subject line “Event Proposal Received! [Event name] ” to find your unique update link.

Step 2: Make sure that any changes are submitted there as well as reflected on your Luma page.

Please note that changes are not instant and may take a couple of days to reflect on the website.

General Best Practices

• Please expect a 50-65% attrition rate for all open events/larger events. This means that if your event capacity is 100 folks and is free to attend, you should expect to accept 200-250 into your event.
• For folks that you know for sure don't fit your profile for the event, please decline their registration ASAP so they know they're not approved, and they can register for other events.
• In addition to Toronto Tech Week amplifying your events, please be prepared to do your own marketing/social campaign for your event and let folks know about your event. Tag Toronto Tech Week and we'll be sure to engage, like, comment etc.
